Commercial gas work can cover very different equipment and environments. A hospitality business replacing an appliance has different constraints from an office planning work in a boiler room. Before comparing quotations, define the equipment, the intended work and the operational setting so that contractors can confirm whether they are suitable.
Be specific about the installation
Provide appliance details, fuel type, location and manufacturer’s information where available. Explain whether the requirement is installation, servicing, commissioning or fault investigation. Include any related work on controls, ventilation or building fabric in the initial discussion, even where another contractor will deliver it.
For a catering operation, coordinate access around preparation and service periods. HSE’s catering guidance stresses appropriate Gas Safe registration and competence for gas work. Check the individual engineer’s relevant categories rather than relying only on a company logo or a general assurance.

Compare like-for-like scopes
Ask each contractor to identify included work, exclusions and assumptions. Confirm whether the quotation covers removal, making good, testing, commissioning and documentation. If a survey is needed to confirm the scope, establish that before accepting a fixed programme.
Do not treat a maintenance visit, a repair and a safety assessment as interchangeable descriptions. Ask what will be checked and what record will be provided. Site-specific duties and equipment requirements should be confirmed for the actual premises.
Coordinate the handover
Agree who can authorise isolation and who will receive the completed installation. The operational team needs clear information about normal use, fault reporting and any outstanding actions. Retain the relevant records with the equipment information for future maintenance.
If the work affects another service, identify the interface owner. For example, changes involving controls or extraction should not leave each trade assuming that another has tested the combined arrangement.
Prepare an effective enquiry
Send MCN Mechanical & Electrical photographs, appliance details and the proposed timescale. Explain the building’s use and any trading constraints. The team can discuss the required scope and confirm the appropriate next step for your commercial gas enquiry.
